Using the Activity Composer in 8020CRM for Communication and Task Management

Overview

The Activity Composer in 8020CRM helps you stay on top of daily communication, follow-ups, and appointments. It brings your most important actions - like calling, emailing, scheduling, and logging activity - into one streamlined panel across Leads, Opportunities, and Property Transactions.


Before You Begin

You must have access to record pages and related permissions (e.g., Lead Manager, Acquisitions User). If you don’t see the Activity Composer or Timeline, contact your System Admin to confirm page layout access.


Why It Matters

The Activity Composer helps you:


  • Take quick action from a single place

  • Keep communication organized across your team

  • Trigger automations and status updates based on your outreach

  • Maintain a complete activity history on every record


Step 1: Locate the Activity Composer

The Activity Composer appears on record pages just below the main record details. You’ll see buttons for:


  • Call - Click to dial from integrated phone systems

  • SMS - Send a text message if a mobile number is available

  • Email - Write or AI-generate emails

  • Log Call - Record an offline or incoming call

  • Task - Create a follow-up task

  • Event - Schedule an appointment

  • Note - Add internal notes

  • Files - Upload documents

  • RAIN - Use AI to summarize or assist with messaging


| All actions taken here are added directly to the Activity Timeline.

Step 2: Log Calls, Emails, and SMS

From the Activity Composer:


  • Click Call to dial from the record (number must be available in the Phone or Mobile fields)

  • Click SMS or Email to send a message or use RAIN to draft one

  • Click Log Call to record a conversation that took place outside of the CRM


| 8020CRM automatically records the information entered in the timeline.


Step 3: Create Tasks and Follow-Ups

Tasks help keep your pipeline moving. Use the Task button in the Composer to:


  • Add a subject, purpose, and due date

  • Set a priority (Low, Medium, High)

  • Add details or notes

  • Assign it to yourself or a teammate


You’ll also see helpful icons:


  • ⏰ Clock icon - Set a reminder

  • 📊 Chart icon - Distribute follow-up tasks over a time period

  • ✅ Checklist icon - Add a task checklist (also called Action Plans)

Step 4: Schedule Events and Appointments

Click Event to book appointments with other teams or with leads:


  • Add a subject and select who it’s assigned to (e.g., acquisition or disposition agent)

  • Choose the function (e.g., Acquisition, Disposition, Inspection)

  • Set the date, time, location, and attendees

  • Use reminders to stay on track


| After conversion, this event will appear in the related Opportunity or Property Transaction timeline and update appointment statuses automatically.


Step 5: Track Everything in the Activity Timeline

All actions appear in the Activity Timeline, just below the Activity Composer. You can:


  • View a complete history of calls, emails, tasks, and events

  • Open each item for more detail

  • Edit or update existing records directly from the timeline


| Click the RAINdrop to generate a quick summary of the record. RAIN will review the activity history, tasks, and conversations - perfect for when you're jumping in cold or switching between leads.


Best Practices


  • Use the Activity Composer for all outreach so your activity history stays complete

  • Use RAIN to speed up communication and avoid repetitive typing

  • Create follow-up tasks for every conversation

  • Check the Activity Timeline before reaching out to avoid duplicate efforts
